Parents and caregivers in the Western Cape are now able to begin applying for Grade R, Grade 1 and Grade 8 placements for the 2027 school year, after admissions applications opened at midnight on Tuesday (10 March).
The Western Cape Education Department (WCED) confirmed the on-time admissions window will remain open until Tuesday 14 April, and parents are being urged to prepare their documents in advance so they are ready to submit applications as soon as the system opens.
Documents needed
With every application parents and caregivers must upload copies of several documents when submitting an application. These include the child’s most recent official school report, where applicable, and certified proof of identity of the learner, such as a birth certificate, ID or passport.
For foreign learners, a passport, study permit, proof of application for a permit or a copy of the parent’s asylum seeker or refugee permit will be accepted. If none of these documents are available a South African Police Service affidavit may be submitted.
Applicants must also provide the learner’s immunisation card (Road to Health Certificate) for primary-school applications as well as proof of residence such as a municipal account, lease agreemen, or an affidavit confirming residence.
The Western Cape Education MEC David Maynier encouraged parents to act early. He added that parents are responsible for submitting their applications within the official window period.
“Parents are responsible for ensuring they submit their applications for admission on time. Applying on time is essential to ensure that your child is included in the first round of applications and to support the WCED’s planning for the 2027 school year.”
Late applications affects placements
Applying swiftly and on time is important, as late applications put serious strain on the process of placing learners. Bronagh Hammond, spokesperson for the WCED, says more than 200 learners are still unplaced for the current school year.
“We are currently in the process of placing 208 Grade R, 1 and 8 learners, but this number changes daily as we continue to receive extremely late applications. To illustrate the scale of this challenge: an additional 2 908 applications for these grades were submitted between 11 and 25 February alone. Yesterday (9 March), we received 51 additional applications.”
Hammond says they have continually received late application since the start of the year, which hampers their placement progress.
“As a result, even while we are actively placing learners, new applications continue to arrive – including today (10 March) – making this a constant and continually shifting target. Since the start of the school year, we have received thousands of extremely late applications, with some parents only applying six weeks after schools reopened. It is the responsibility of parents to apply on time.”
Hammond continued to plead with parents to apply on time: “Applications for the 2027 school year opened today on 10 March, and parents are strongly encouraged to submit their applications before the deadline of 14 April 2026 to avoid delays and ensure placement.”
The department said the platform on which parent apply is zero-rated, meaning parents can access it without using mobile data. The WCED has also provided step-by-step guidance and video tutorials on the admissions webpage to help parents understand how the system works before starting their applications. Officials say that once all required documents are ready and uploaded completing the application should not take long.
To assist families who may not have internet access or who need help completing their applications the WCED will host pop-up admissions sites across the province during the on-time application window. Officials at these sites will help parents complete their online submissions.
WCED pop-up sites
There will be a pop-up site at Rembrandt Mall (21 March) and Paarl Boxer Mbekweni (21 and 22 March) from 09:00 to 15:00.
Maynier warned that late applications place significant pressure on the system each year and can delay placement processes.
“Each year thousands of late applications place enormous strain on the system and delay placement processes. Submitting applications during the on-time window period helps us to plan for a place in a school for your child.”
He urged parents not to delay their applications. “Don’t wait! Apply on time between 10 March and 14 April 2026.”
